Job Title:                     PRODUCTION ADMIN SPECIALIST - ANC Plant/Value Added      

Department:                 Production

Report to:                    Production Controller

Position Overview:      Works as a team player in performing a variety of functions including production data management, completion of administrative tasks and general production operations clerical duties such as entering raw product inventory production records into various computer-generated spreadsheets/reports; transaction processing; settlement with suppliers; and preparing and releasing purchase orders and advance checks to and for suppliers while ensuring asset protection of Copper River Seafoods.  Will also include the filing of government reports, production reporting and preparing information found during harvesting, data gathering, as well as various other tasks.  Inventories and orders production supplies ensuring adequate supply availability.

Responsibilities:

(1)   Update and verify packaging inventory, company-wide – specific to value-added products

  1. a.       Track inventory levels vs customer commitments
  2. b.      Order new packaging under direction of Production Controller
  3. c.       Arrange transport for packaging to 3rd party production facilities as needed

(2)   Track fresh/frozen fish purchases

  1. a.       Enter POs and communicate with vendors, as directed by Production Controller
  2. b.      Ensure receipt of billed weight and verify pricing
  3. c.       Final sign off by production controller before sending to A/P

(3)   Assist with 3rd party production scheduling (SeaBear, Arctic Paws, CLP, IPC)

  1. a.       Schedule production with facilities based on input from Production Controller
  2. b.      Ensure packaging and raw materials are in place for planned production
  3. c.       Track on hand RM and FG inventories at all 3rd party production facilities (except IPC)
  4. d.      Analyze completed production for recoveries, costs, quality, etc.
  5. e.       Communicate ship dates for IT orders of finalized production with the inventory team
  6. f.       Write/communicate all sales orders shipping direct to customer from 3rd party facilities and ensure paperwork is finalized for billing

(4)   Sales order creation & follow through for General Manager and COO

(5)   Assist inventory with closing out IT orders companywide (i.e. voiding competed IT orders, scanning paperwork)

(6)   Performs a variety of functions including reception/office duties, admin support to various departments, etc.

(7)   Performs other duties as assigned in a timely and accurate manner.

 

Secondary Responsibilities:

(1)   Gathers data and enters the production records of all raw produce inventories into various computer systems upon delivery; keeps Plant Manager/General Manager informed on a daily/as required basis.

(2)   Files daily and/or weekly government reports of raw product purchases and all finished goods produced, including but not limited to fish ticket processing, on a timely and accurate basis.

(3)   Prepares invoices for shipments of finished goods and complies and files necessary documents.

(4)   Reconciles and completes State of Alaska daily/weekly reports including fish ticket processing; completes monthly City/State of Alaska reports, quarterly state tax filings and annual State of Alaska production and purchase reports for proper submission to Corporate company headquarters.

(5)   Establishes professional and harmonious working relations and coordinates all general production operations activities with the plants and corporate personnel.  Also with vendors, suppliers, customers, co-workers, employees, etc.

(6)   Creates and maintains organized audit filing system.  Develops and maintains a Procedures Manual for all tasks performed.  Ensures safety and accuracy of all inventory reports, production reports, shipping and receiving reports, raw/physical inventory reports, receivable documents, and other related production operations requirements.

(7)   Inventories and orders production operations supplies, as well as supply materials for other divisions within the company (i.e., maintenance/engineering, galley/housekeeping, safety/security, office administration) ensuring adequate supply is available at all times.

(8)   Develops, implements and maintains Copper River Seafoods company vision to ensure continuous improvements and cost efficiencies.

Other Skills/Abilities:

  • Proficient in Excel, Word, Power Point, Access and PC office environment.
  • Ability to work independently and confidentially.
  • Ability to prioritize projects and programs – able to organize several projects and tasks at once.
  • Strong organizational skills – with ability to plan up to six months ahead.
  • Must be able to recognize the importance of self-instruction and time management.

Job Requirements:

  • High school diploma plus two years of college or a vocational degree.
  • Minimum 3-5 years’ experience in seafood processing/food manufacturing.
  • Knowledge of accounting principles and math skills preferred.
  • Exceptional communication and presentation skills.
  • Ability to interact positively and form relationships with professionals inside and outside the company.
  • Ability to work long hours, including weekends, during high/peak processing seasons.
